Probe Clinical Research Corporation (“Probe,” “we,” “us”) conducts paid clinical research studies at 4121 Brockton Ave #102, Riverside, CA 92501. This policy explains how we handle information collected through probeclinicalresearch.com. It does not cover information collected later if you join a study (see “Information collected later in a study”).

Information you give us

  • Study Interest Form: your name, date of birth, street address, city, state and ZIP code, cell and home phone numbers, best time to call, email address, the health conditions you select, and anything you write about your health. We use this to see whether you may qualify for a study, to contact you about it, and to contact you about other study opportunities.
  • Contact Us and Sponsor/CRO forms: your name, email address, phone number and message. We use this to respond to you.
  • Privacy Policy acknowledgment: each form asks you to check a box acknowledging this Privacy Policy before you submit. We record that the box was checked and which version of this policy was in effect. The acknowledgment is not consent to take part in a study, not consent to receive marketing, and not an authorization to use or disclose your health information.

You can also contact us by phone at 951-778-1131 instead of using a form.

Health information

Information about your health is sensitive. We use it only to see whether you may qualify for a study and to contact you about that study or other study opportunities. We do not sell it or use it for advertising. We do not disclose it outside Probe except to the service providers described below, when required by law, or with your written authorization.

How form submissions are handled

When you submit a form, our website emails your submission to our office inbox, which is a Google Gmail account. The email includes the form you used, the study page you applied from (the study name appears in the email’s subject line), your answers, and your email address so we can reply. We retain regular applications in that inbox; the website is not used to store them as application records.

If a sender has been placed on our list of repeat unsolicited senders, their submissions are not emailed. They are stored in our website database, visible only to our administrators, and deleted automatically after 90 days. Our office inbox receives a weekly summary of held messages.

Our office Gmail inbox uses a small add-on we built to report unsolicited messages. When our staff use it on a website notification, it sends a coded reference from that email to our website so the sender can be added to or removed from the hold list, and then moves that email out of the inbox. It does not send your submission to anyone else.

Information collected automatically

Like most websites, our web server records basic technical information such as your IP address, browser type and the pages you visit. Our spam filter, Akismet (operated by Automattic Inc.), receives the content of form submissions, your IP address and browser details to block spam.

We do not use analytics or advertising trackers, and we do not set advertising cookies. WordPress may set cookies needed for the site to work. The typefaces used on our pages are served from our own website, so your browser does not contact an outside font service. We do not allow other companies to collect information about your activity on our website over time or across other websites. We do not track visitors across other websites, so a browser “Do Not Track” signal does not change how this site operates.

How we share information

We do not share the information you submit through this website with study sponsors, contract research organizations (CROs) or any other outside party for recruitment. We do not sell your personal information, and we do not “share” it for cross-context behavioral advertising.

Service providers. Some companies process or store submissions for us so our website and email work. They act on our behalf and are not given your information for their own use:

  • HostGator, our web host, which runs the website, sends the form emails and stores website backups;
  • Google, which provides the Gmail inbox where submissions arrive;
  • Automattic, which provides the Akismet spam filter.

We may also disclose information if required by law.

Information collected later in a study

If you take part in a study, information collected through study paperwork, such as consent forms and study records, is handled under that study’s informed consent and procedures, not under this website policy.

How long we keep information

Applicants’ information is primarily kept in our Google Gmail inbox. Access to that email account is restricted to authorized employees. Regular application emails and pre-screening records have no scheduled expiration. We keep them indefinitely unless we manually delete them, so that we can contact people about study opportunities. Contact details you gave us may become outdated. Information may also be copied or imported into Word documents or Excel spreadsheets stored on a password-protected computer. These electronic records are kept until we manually delete them. Our staff may print information for their work; printed copies are shredded after use. You can ask us to delete your information at any time.

The exception is our unsolicited-message filter: matching messages are stored on the website and deleted automatically after 90 days. Copies of those held messages may remain in website backups. Our website is backed up automatically: the website database daily, keeping the 14 most recent copies, and website files weekly, keeping the 4 most recent copies. Older automatic backups are removed as new ones are made; backups saved separately are kept until we delete them. Website backups are currently stored only on our web host, HostGator, which may also keep its own backup copies.

Your choices and rights

You may ask us to access, correct or delete your information, or to stop contacting you. To make a request, email or call us using the details below. We may need to confirm your identity before acting on a request, and we will not discriminate against you for making one. California residents: we do not disclose personal information to third parties for their own direct marketing purposes. Depending on the circumstances, California law may give you additional rights; you can use the contact details below to ask about them.

Children

Our Study Interest Form accepts applications only from people 18 or older, and it does not accept a date of birth showing an age under 18. Individual studies may have additional eligibility requirements. We do not knowingly collect information from children under 13.

Security

We use reasonable safeguards. For example, electronic records copied from the forms are kept on a password-protected office computer, and printed copies are shredded after use. No website, email system or computer is completely secure. Please do not send detailed medical records through the website forms.

Links to other websites

Our website may link to other websites, including social media. Those sites have their own privacy policies.

Changes to this policy

We may update this policy. When we do, we will post the updated version on this page and change the “Last updated” date at the top. Our forms record which version was in effect when you submitted.
